I have too many Sent Items…How do I Delete them?

First let us discuss how to delete items from the Deleted Items folder of your email client/program.

If you use Microsoft Outlook, or Outlook Express they both work just about the same when it comes to deleting things from the Deleted Items folder.

If you’re like me and nearly every other person I know who has been bitten by the E-Mail bug, you delete all the spam your friends send you without reading much of it. What you’re spam filter doesn’t catch gets deleted just the same; where does it all go? Well, you are a smart one…it goes directly to your Deleted Items folder, which is listed on the left hand side of your email program with the other folders.

To Empty your Deleted Items folder:

  1. Right Click on the Deleted Items folder.
  2. In the menu that comes up, click on Empty Deleted Items.
  3. A dialogue box will come up asking if you want really want to delete it; click “Yes“.
  4. That’s it…you’ve deleted everything in the Deleted Items folder.

Now if you want to empty out your Sent Items folder you’ll have to do what we did above, but first you have to move everything from the Sent Items folder to the Deleted Items folder.

Here’s How:

  1. Click on the Sent Items folder. It will show you all the emails you’ve sent to everyone you’ve sent mail to. Hmmm, try to say that three times fast.
  2. Click on the first email title in the window where all the emails appeared in a list. (That’s usually the larger section in the email program to the right of the folders list.
  3. Hold down the Ctrl key and while holding it press the letter “A”. Then let go of both keys. This will select all of the emails in your Sent Items folder.
  4. Click the Delete button in the tool bar at the top of the program or press the Delete key on your keyboard. Everything will be moved from the Sent Items folder to the Deleted Items folder.
  5. Follow the steps provided above to empty the Deleted Items folder.

Presto! You’ve just done your computer a huge favor and freed up a little bit of space by getting rid of some unnecessary clutter.

Right Clicking is a powerful tool that reveals menus and shortcuts most people have little or no knowledge of. Warning! If you don’t know what will result from clicking on an option in a right click menu then don’t click anything. Move the mouse pointer away from the right click menu and click anywhere in any blank are of your screen or desktop, or press the “Esc” key usually located in the far left upper corner of your keyboard.

Take care and clean the clutter from your email programs.

What is a PDF and Why do I need a PDF reader?

PDF stands for Portable Document File and was created in 1993 by Adobe Systems to make it easier to move documents around the Internet. What makes a PDF so useful is that it encapsulates everything needed for the document; font, pictures, document layout and dimensions.

A PDF can also be an interactive form. In other words, a form can be created that allows you to fill it in using your computer and then to print it out on your personal printer or email it back to the person/company who sent it to you.

Many people think that just because Adobe Systems created the Portable Document File that they have to download the Free Adobe Reader. Though this is probably what was originally intended to happen it was not what actually occurred.

There are quite a few PDF programs to choose from. Many of them are Free, but others you have to pay for. Some of these programs allow you to create your own Portable Document Files using your current Word Processing and Spread Sheet Programs; not to mention that some of them will allow you print directly to them as if they were a virtual printer. They convert your content into a PDF after printing is complete, so that you can send the document across the internet to people you know and what to share with.

For those of you who don’t have a PDF Creator on your computer but would like to be able to convert your Word or Word-Perfect or other type of saved documents, even from Publisher, Excel and so on, into a PDF you can still do it.

Follow the link below to a web page that will allow you to upload the document you want made into a Portable Document File. Once you choose the file to convert it all takes place nearly instantaneously. A dialog box will open allowing you to save the converted PDF to your computer. Then, Presto! you have a PDF you can send to friends/family and you didn’t even have to install a converter onto your computer.

Remember this; The reason you need a PDF reader is because people are using Portable Document Files more often these days. I can keep their documentation from being altered after its converted to the PDF format, and it is smaller and easier to email or put on a website for download.

Many of my clients have raised concern that they can not open a PDF from a website or in their email. So, choose one of the PDF readers that best suits your own needs. If you can’t decide then it is usually best to use Adobe Reader (just to be on the safe side).

How to attach something to an email…

“How do I attach a picture or document to my emails?”

I get asked that question more than any other concerning E-Mails. The answer is really quite simple, but it is a procedure you have to learn and then repeat to remember.

If you are using XP or Vista and you are using Vista’s Mail program or Microsoft Outlook or Outlook Express then you can follow the steps listed below to send a picture or several pictures.

  1. If you already have your pictures in your My Pictures folder located in your My Documents folder then Open My Pictures.
  2. Locate the picture you want to end and click on it one time, to select it.
  3. On the left hand side of the window you should see “Email This File.”
  4. Click “Email This File.”
  5. A small dialog box will open with two options…depending on the size of the photo you may want to select the option that makes the image smaller for emailing. What I mean is; if you took the photo off of your digital camera and it is a high-resolution image then it is probably fairly large; so pick the option to make it smaller. If it was an image you already received in a previous Email that you saved, then select the option to leave it the size it is.
  6. Once you make your selection and click “Ok” then a new window will open which will be your Email message with the picture attached.
  7. You now need to decide who it is going to. If you know the actual email address you can type it in but if not you can click on the “To:” next to the box where you type in the email and it will open your address book.
  8. Once the address book opens you’ll see a list of the people you have in your address book.  Choose who you want to send the email to and click on their name; then click the word button “To:” to put their name in the list of people you want to send the email to.  You can do this repeatedly to send to more than one person.  You can also choose to send it to many people but you don’t have to put them in the “To:” list, you can use “BCC.”  (Blind Carbon Copy)
  9. Click the appropriate button at the bottom of the dialog box when you’ve selected all the people you want to send the email to.
  10. Now clear whatever is in the Subject line and put your own words there: i.e.: “Picture Attached…”
  11. Clear whatever is in the message portion of your email and type your own message.  Once you’ve done that you can click “Send” and the message and attached picture will be on its way.

Please note that the Subject line and Message are automatically generated by Windows when you choose to send a picture or any other file using this method.  You will have to clear it using the Delete key or Backspace.  You can also click in the message are of the email and press “Ctrl” holding it down, while you then press “A” and release them both.  This method will select all of the text in any text box you use it in.

You can use this same method of Attachments to Emails, for files, word documents, excel sheets, etc…
